Germantown Academy, located in Fort Washington, Pennsylvania, is seeking qualified, experienced candidates for the full-time position of Admission Associate- Middle and Upper Schools, beginning as soon as possible. This is a 12-month position which offers an excellent array of benefits and a highly competitive salary. This position does not qualify for tuition remission.The Academy, founded in 1759, is a non-sectarian, coeducational, college preparatory school of more than 1,200 students in Grades PK-12, located in the northwest suburbs of Philadelphia on a campus of 126 acres.

Position Purpose:

The Admission Associate assists with the admission process from the inquiry phase through the enrollment process.  They assist with the overall promotion and presentation of the school and its mission to prospective students and parents by advising prospective families on the admission process and coordinating the student and parent visit experience for Middle and Upper School Students.  They are responsible for external marketing and communications related to the admission process and for new families upon enrollment.  Reporting to the Director of Admission, Enrollment and Financial Aid they assist the Associate Director of Admission, Enrollment and Financial Aid, Assistant Director of Admission for Middle and Upper School, Admission Officers, Data and Research Manager, and Office Manager as needed. 

Key Responsibilities:

  1. Conduct Middle and Upper School Student Interviews and Family Information Meetings
    • Assume responsibility for these applicant families
  2. Respond to all inquiries, explain admission procedures and screen calls for directors and officers.
    • Manage general admission email.
  3. Serve as co-advisor to the Patriot Ambassador student volunteer groups in the Middle and Upper School
    • Schedule student tour guides
    • Assign student hosts
    • Supervise OLSAT administration and data entry for Middle and Upper School applicants
  4. Read and rate all Grade 6-12 admission files as a member of the Middle and Upper School Admission Committees.
  5. Oversee external school wide admission communication.
    • Send weekly admission schedule to administration, faculty, staff etc. - At A Glance    
    • Update RiseVision screen as needed.
    • Develop and create This Week at GA informational piece to be distributed on Student Visit Day and admission outreach events.
  6. Help to execute marketing strategies, including the social media and student driven initiatives for the Admission Office.
    • Update Admission Website as needed throughout the admission season
  7. Assist with planning admissions events including open houses and outreach events and division specific special events
  8. Assist with special projects and intra-departmental functions as needed
  9. Attend off campus feeder and marketing events as necessary
  10. Attend Middle and Upper School and all school community events
  11. Assist the Director of Admission, Enrollment and Financial Aid as needed.
  12. Other duties as assigned.

Qualifications:

  1. Experience working with children, preferably in an independent school environment.
  2. Warm, welcoming, and outgoing individual who can reach out to families from a wide variety of backgrounds;
  3. Excellent communication skills, including strong writing and editing abilities;
  4. Highly accurate and detail oriented to ensure that this visible work is of high quality
  5. Able to work independently, take initiative and assume responsibility for all components of the position
  6. Able to multi-task, monitor deadlines, implement time management skills and prioritize workload
  7. Able to exercise sound judgment and discretion in communicating with the public and the school community fully honoring the confidentiality required in admission work. 
  8. Expertise in Microsoft Office suite, and experience with Veracross preferred
  9. Strong interpersonal skills and collaborative skills to work as a team player in a fast paced and busy office
  10. 1-3 years experience in independent school admission work or related field. 
  11. BA/BS required.
